Privacy Policy

This policy explains the kinds of information RangerOS may handle when teams use the platform for field operations, reporting, offline capture and customer support.

1. Who this policy covers

This policy applies to visitors to the RangerOS website, people who contact Yuma IT about RangerOS, and authorised users of the RangerOS SaaS platform.

For customer workspaces, the customer organisation usually controls the records entered by its users. Yuma IT processes that information to provide RangerOS and related services.

2. Information we collect

The information we collect depends on how RangerOS is used. It may include contact details, account details, organisation names, job roles, invitations, permissions, billing or procurement details, support messages and product usage information.

RangerOS may also handle field and operational records entered by users, including patrols, sightings, incidents, tasks, safety checks, training records, assets, maintenance logs, fuel records, reports, photos, documents, notes, timestamps, audit history and location-related information.

  • Offline mobile capture may include tasks, incidents and activities recorded without connectivity, along with photos, location data and device sync metadata.
  • Reporting features may process approved source records, draft narratives, quality-check results and exported evidence packs.
  • Website analytics and server logs may include IP addresses, browser details, pages viewed, referring pages and diagnostic events.

3. Sensitive and location-related information

Because RangerOS is built for ranger operations, customer data may include information about people, places, safety matters, environmental observations, culturally sensitive locations or other information that needs careful handling.

Customers and authorised users should only enter information they are permitted to record in RangerOS. They should configure access, exports and reporting workflows to match their internal governance and any cultural, privacy, grant or operational requirements.

4. How we use information

  • To provide RangerOS accounts, workspaces, permissions, field records, reporting, exports, offline import workflows and customer support.
  • To secure the service, monitor reliability, investigate errors, prevent misuse and maintain audit records.
  • To communicate about product updates, walkthroughs, procurement checks, support requests, billing and service notices.
  • To improve RangerOS features, usability, documentation, reporting quality and platform performance.
  • To meet legal, accounting, security, contractual and compliance obligations.

5. AI-assisted features

Where AI-assisted reporting or drafting features are enabled, RangerOS may process selected customer records to generate draft narratives, summaries, checks or report content. These outputs are intended for review by authorised users before use.

We do not use customer workspace data to train public AI models unless a customer has expressly agreed to that in writing. If an AI service provider is used, we take steps designed to limit processing to providing the requested feature and to align processing location with RangerOS customer commitments where applicable.

6. Sharing information

We may share information with service providers who help us host, secure, monitor, support, communicate, analyse and operate RangerOS. These providers are only given the access needed to perform their services.

We may also share information when required by law, to protect RangerOS or users, as part of a business transfer, or with a customer's authorised administrators and users according to workspace permissions.

  • We do not sell customer workspace data.
  • We do not publish customer operational records without permission.
  • External integrations or exports may send data to systems chosen or authorised by the customer.

7. Security and retention

We use technical and organisational safeguards intended to protect RangerOS data, including access controls, logging, backups and infrastructure security practices. No online service can guarantee absolute security.

We retain information for as long as needed to provide RangerOS, support customers, meet legal or contractual requirements, resolve disputes, maintain backups and keep appropriate business records. Customer export and deletion requests are handled according to the relevant agreement and technical constraints.

8. Access, correction and deletion

If you use RangerOS through an organisation, contact your workspace administrator first to access, correct or delete information in that workspace. Administrators can manage many records and permissions directly.

You can also contact hello@yumait.com.au for privacy requests. We may need to verify your identity and may direct the request to the relevant customer organisation where it controls the data.

9. Cookies and website analytics

The RangerOS website and app may use cookies, local storage or similar technologies to keep sessions working, remember preferences, protect accounts, understand site performance and diagnose issues.

You can control some cookie settings through your browser, but disabling required storage may stop parts of RangerOS from working properly.

10. Changes to this policy

We may update this policy as RangerOS develops, as laws change, or as our services and providers change. The effective date above shows when this version took effect.
